Who we are

Service Heat & Cool Ltd ("we", "us", "our") is a heating and air conditioning business based in Swindon, Wiltshire. This policy explains what personal data we collect through this website, why we collect it, and what your rights are. What we collect

We only collect what you give us directly — we don't use tracking cookies or analytics software on this site.

Where	What's collected
Quote request form	Name, phone number, email address, postcode, the service you've selected, and any details you type in — including, for air conditioning enquiries, room sizes, window details, and similar information needed to size a system.
Phone or WhatsApp	Your number, and anything you tell us during the call or chat.
Email	Your email address and the contents of your message.

Why we collect it

We use your details only to:

• Respond to your enquiry and provide a quote
• Arrange and carry out any work you book with us
• Issue certificates (e.g. Gas Safety Certificates) and warranty documentation where applicable
• Keep records we're legally required to keep (see "How long we keep it" below)

We do not use your information for marketing unless you've separately agreed to that, and we never sell or share your data with third parties for their own marketing purposes.

Our legal basis for processing

We rely on contract (to provide a quote or carry out work you've asked for) and legitimate interest (to respond to enquiries and keep basic business records) as our legal grounds under UK GDPR. Where we're required to issue statutory certificates or keep records for tax purposes, we rely on legal obligation.

Who we share it with

We don't sell or rent your data. It's only ever shared with:

• Netlify — who host this website and process quote form submissions on our behalf, under their own Data Processing Agreement and GDPR safeguards.
• Google Fonts — the typefaces on this site are loaded from Google's servers, which may receive your device's IP address as a normal part of loading a webpage.
• WhatsApp (Meta) — if you choose to message us via WhatsApp, that conversation is subject to WhatsApp's own privacy policy, not ours.

We don't use any other analytics, advertising, or tracking services on this site.

How long we keep it

If your enquiry turns into a job, we keep your details for as long as necessary to support any warranty, and for up to 7 years afterwards in line with standard UK accounting and tax record-keeping requirements.

If your enquiry doesn't go ahead, we aim to delete your details within 24 months of your last contact with us.

Your rights

Under UK GDPR, you have the right to:

• Ask what personal data we hold about you, and get a copy of it
• Ask us to correct anything inaccurate
• Ask us to delete your data, where we're not required to keep it for legal reasons
• Object to, or ask us to restrict, how we use your data

To exercise any of these, email info@serviceheatandcool.co.uk. If you're not happy with how we've handled your data, you can also complain to the Information Commissioner's Office (ICO), the UK's data protection regulator.

Cookies

This site doesn't currently use analytics or advertising cookies. If that changes in future, we'll update this policy and add a cookie notice.

Changes to this policy

We may update this policy from time to time — for example if we add new tools to the site. The date at the top shows when it was last revised.
